Responsibility Description of Undergraduate Studies Office
The prime responsibility of the Undergraduate Studies Office (hereinafter referred as “UG Office”, led by the Dean of Undergraduate Studies, is to guarantee high-level education and training to the undergraduate students by providing complete solutions to all the academic and the administrative services related to undergraduate teaching. The UG Office is docking with the Technion for undergraduate teaching, including teaching responsibility assignment, contract formulation, regulations establishment, teaching arrangement, teaching assessment etc.

1.Responsible for organizing and implementing the university’s undergraduate teaching activities in accordance with teaching-related rules and regulations; formulating and revising teaching-related rules and regulations such as the student status management; organizing and managing the selection of teaching research projects and teaching achievement awards throughout the university.

2.Responsible for the undergraduate academic calendar formulation; organizing and implementing the undergraduate teaching schedules and curriculum arrangements; responsible for the use and the guidance of the teaching platform Moodle; organizing the undergraduate teaching schedule and the use and deployment of teaching resources such as classrooms and self-study rooms, and maintaining the undergraduate daily teaching order.

3.Organizing teachers meetings and student representative meetings to understand the students experience and get their input on their learning experience, and supervise the teaching each semester.

4.Responsible for the preliminary review of the graduation conditions of undergraduates, checking whether the students meet the graduation requirements and announcing the list of graduates; co-organize the graduation ceremony.

5.Assisting in the formulation of teachers’ contracts according to the teaching plans and teachers respective assignments; coordinating the recruitment of teaching assistants by collecting the needs of teachers and submitting for approval.

6.Responsible for requesting teaching support from Shantou University, by submitting detailed requests to relevant teaching units of Shantou University based on the teaching needs, and assisting in relevant teaching arrangements and the teachers’ salary payment.

7.Responsible for the inclusion list of the Vice Chancellor’s List/Dean’s List and outstanding graduates.

8.Responsible for undergraduate student status management, including student registration, suspension, resumption, program transfer, drop-out, transfer to another program, transfer to another university and other student status changes; confirming online registration of undergraduate student status and academic qualification is by the rules and prerequisites; management of undergraduate student ID card and train discount card; issuing studying certificate and other relevant certificates; management and issuing of undergraduate transcript.

9.Responsible for undergraduate course enrollment and withdrawal, adjustment, and assisting in the implementation of course list changes for students in unsatisfactory academic standing; responsible for input and update of teaching information in the UG Interface and the Technion system.

10.Responsible for coordinating the exams date and exams paper printing with teachers; provide guidance to teachers to use the multiple-choice automatic grading system and Tomax online grading system, arranging schedules for midterm exams, final exam A and B, arranging corresponding exam rooms and the exam seating charts, organizing students to register for exams, arranging exam monitors, scanning and archiving, results publish and other matters of examination administration.

11.Responsible for organizing relevant special teaching committees to investigate, identify and handle teaching accidents, exam cheating, and the issues regarding students in unsatisfactory academic standing.

12.Responsible for organizing students to participate in various discipline competitions inside and outside the university, and assisting in various training activities. For example, the English Speech Contest held at the provincial and the national level.

13.Responsible for carrying out online/offline semester teaching quality evaluation, collecting student feedback; provide teaching feedback to corresponding teachers, study programs and the Dean in a timely manner.

14.Responsible for the information management and data input of relevant China educational platforms.

15.Responsible for the application of new undergraduate study programs.

16.Assisting in organizing undergraduate overseas exchange programs and the visiting semester to the Technion, including exchange students’ qualification verification, credit transfer recognition, visa application materials collection and other matters related to the exchange programs and the visiting semester.

17.Responsible for the reading room management in the north campus, updating book resources, assisting in room monitor recruitment and supervising the operation of the reading room.

18.Responsible for other teaching-related logistics support, including teacher training, teaching aids procurement, and textbook demand collection, etc.

19.Be the liaison between the study program and the students, and help coordinate other teaching-related issues.

20.Responsible for implementing the decisions of the Teaching Committee including ad-hoc changes to schedule and
special undergraduates teaching and research activities.
